1. Connect QuickBooks Online
Authorize Collectly with OAuth. We pull your open invoices, customers, and payment history — read-only — and keep them in sync with incremental updates and webhooks. Tokens are encrypted at rest and rotated automatically.
2. We score every overdue invoice
Collectly blends three signals into a single priority score: the invoice's balance (size), how far overdue it is (with aging-bucket weighting), and the customer's historical payment behavior. The result is a ranked worklist that puts the highest-impact accounts on top.
3. Customer risk tiers tell you who to call
From each customer's days-to-pay history, Collectly classifies them reliable, slow, or chronic. A reliable customer just needs a nudge; a chronic late-payer might need a call before you waste another email.
4. Draft the right reminder, at the right stage
Each invoice gets the next message in an escalating sequence — friendly reminder, firm follow-up, final notice — based on how overdue it is and what you've already sent. Drafts are on-brand, always include the invoice facts, and never threaten or invent payment terms.
5. You approve and send
Nothing goes to a customer automatically. Review the draft, edit it, then send from your verified domain (Pro) or copy it into your own email. Every send is logged so the sequence knows what comes next.
6. Watch DSO fall
The dashboard tracks Days Sales Outstanding, your aging distribution, and how much you've recovered this period versus last. When a payment lands in QuickBooks, the invoice drops off your worklist automatically.
